A Guide to Making Tax Digital for Income Tax: What It Means for Traders.

bench of tools

As an accountant, I know that your priority is your business. Whether you are a plumber, an electrician, a joiner, or a skilled tradesperson, your time is best spent on the tools, not buried under a mountain of paperwork.

The deadlines are approaching, and there is a lot of information to digest.

Let us break down what this means for you, how you can prepare, and, most importantly, how this change can benefit your business.

What Exactly is Making Tax Digital?

At its heart, Making Tax Digital is a straightforward initiative. It requires businesses to keep their financial records digitally and use compatible software to send regular updates to HMRC.

Think of it as moving from a messy paper toolbox to a perfectly organised, modern one. Instead of collecting receipts in a shoebox and trying to make sense of them once a year, you will be using software to record your income and expenses as they happen.

The aim is to make the tax system more effective, more efficient, and, ultimately, easier for you to manage your tax affairs in real time.

Who is Affected and When?

MTD for Income Tax is being introduced in stages, starting April 2026.

It is crucial to know when it applies to you.

You will need to follow these new rules if you are registered for Self-Assessment and your annual business or property income is more than £50,000.

The key date to remember is 6 April 2026. From this date, all affected businesses must maintain their accounting records using digital software.

How to Go Digital: Your Practical Steps

The phrase "going digital" can sound daunting, but the process is simpler than you might think.

Choose Your Software: The first step is to select accounting software that is compatible with MTD. There are many options available, designed specifically for small businesses and sole traders. They range from simple apps on your phone to more comprehensive desktop systems. Look for software that allows you to easily record income, upload expenses by taking a photo of a receipt, and categorise your transactions.

Set Up Your Account: Once you have chosen your software, you will need to set it up. This involves creating your business profile and linking it to your HMRC online account. Your software provider will guide you through this process.

Digitalise Your Records: This is where the real change happens. Instead of a paper ledger or a basic spreadsheet, you will now use your chosen software to record every transaction. When you buy materials, you can snap a picture of the receipt with your phone and upload it instantly. When you complete a job and receive payment, you log it there and then. This creates a clear, digital trail of your business finances.

The Silver Lining: How MTD Can Boost Your Cash Flow

I know what you might be thinking: "This sounds like more work."

Sam Hart, LHP Director, MTD Expert.

However, when embraced correctly, MTD can offer significant advantages for your business and your cash flow.

Real-Time Financial Visibility: With your income and expenses updated in real time, you no longer must wait until the end of the year to know how your business is performing. You can see your profit margin briefly, which helps you make smarter decisions about pricing, materials, and spending.

No More Last-Minute Panic: The year-end tax return can be a source of immense stress. By keeping your records up to date throughout the year, the tax return becomes a simple summary of information you already have. Furthermore, sending quarterly updates to HMRC means you will have a much clearer idea of your potential tax liability, allowing you to set aside the right amount of money and avoid any nasty surprises.

Improved Organisation and Efficiency: Digital record-keeping means no more lost receipts or forgotten invoices. Everything is stored securely in one place, which is not only helpful for tax purposes but also for general business management. This efficiency frees up your time to focus on what you do best.

Final Thoughts

Change can be unsettling, but Making Tax Digital is a positive step towards a more modern and manageable way of handling your business finances. It is an opportunity to gain better control over your numbers, improve your cash flow, and reduce the administrative burden that comes with running your own business.

My advice is to not wait for the deadline.

Use the coming months to research your software options, perhaps try a few free trials, and get comfortable with the idea of digital record-keeping. If you feel unsure, please do not hesitate to seek professional advice. A little preparation now will make the transition smooth and set your business up for a more financially organised future.
